Information from Connected Services

When you connect third-party services, we take a privacy-first approach that minimizes the data we store:

What We Store:

  • Calendar Metadata: Event titles, times, locations, attendee email addresses, and meeting links from your connected calendar
  • Reference Identifiers: IDs and references that allow us to fetch relevant information from your connected services when generating briefs
  • Contact Metadata: Names and email addresses of meeting participants to identify relevant context
  • Generated Briefs: The meeting briefs we create for you, including structured summaries derived from your connected data

What We Do NOT Store:

  • Email Content: We do not store the body or content of your emails. Email content is fetched on-demand when generating a brief, held only in memory during processing, and is never written to persistent storage.
  • CRM Notes and Details: We do not store CRM notes, deal descriptions, or detailed records. This content is accessed temporarily during brief generation only.
  • Document Contents: We do not store the contents of files, documents, or attachments from your connected services.

This approach means your sensitive business communications remain in the systems you already trust, while we provide you with the insights you need for effective meetings.

When you use the Service, we automatically collect:

  • Usage Data: Features used, briefs generated, and interactions with the Service
  • Device Information: Browser type, operating system, and device identifiers
  • Log Data: IP address, access times, pages viewed, and referring URLs

2. Our Data Minimization Approach

Briefly is built on a privacy-first "minimal data" architecture designed to protect your information while delivering powerful meeting preparation insights.

Fetch-Process-Discard Model

When you request a meeting brief, we:

  1. Fetch: Temporarily retrieve relevant content from your connected services using the secure connections you have authorized
  2. Process: Analyze this content using AI to extract insights and generate your personalized meeting brief
  3. Discard: Delete the source content from our systems immediately after processing. We retain only the generated brief and minimal metadata.

What This Means for You

  • Your Data Stays in Your Systems: Email content, CRM notes, and document contents remain stored only in the services you already use and trust
  • Reduced Risk: Because we do not maintain copies of your sensitive business communications, there is less data at risk
  • You Control the Source: If you delete an email or update a CRM record, that change is reflected automatically since we do not hold an independent copy
  • Simpler Data Requests: When you request data deletion, there is less to delete because we never stored the detailed content

  • Email Delivery: For sending notifications and communications

Business Transfers

In connection with any merger, sale of company assets, financing, or acquisition of all or a portion of our business, your information may be transferred as part of that transaction.

6. How Long We Store Your Information

Our data minimization architecture means we store less data to begin with:

Data We Store

  • Account Information: Retained while your account is active
  • Generated Briefs: Retained while your account is active, allowing you to reference past meeting preparations
  • Calendar Metadata and References: Retained while your account is active to enable brief generation

Data We Process Temporarily

  • Email Content, CRM Details, and Document Contents: Fetched on-demand and held in memory only during processing. This data is never written to persistent storage and is automatically cleared from memory within minutes of brief generation.

After Account Deletion

  • Account information, generated briefs, and stored metadata are deleted within 30 days
  • Audit logs are retained for up to 2 years for security and fraud prevention purposes, then deleted
  • Data required for legal compliance is retained only as required by applicable law
  • Because we do not store email content, CRM notes, or document contents, there is no such data to delete

7. Your Rights

Depending on your location, you may have certain rights regarding your personal information:

  • Access: Request a copy of the personal information we hold about you
  • Correction: Request correction of inaccurate or incomplete information
  • Deletion: Request deletion of your personal information
